Internal Company Policies
INTRODUCTION
Etech Digital Solution is a forward-thinking digital services company committed to excellence, innovation, integrity, and inclusivity. Our internal policies are designed to uphold professionalism, safeguard data and intellectual property, promote ethical conduct, ensure employee well-being, and nurture spiritual freedom and mutual respect among our staff and collaborators. These policies apply to all full-time employees, part-time staff, contractors, freelancers, and interns.
1. ACCEPTABLE USE POLICY
All company systems, networks, and services must be used responsibly and lawfully. Staff are prohibited from using company resources for unauthorized personal, illegal, or unethical activities, including but not limited to piracy, harassment, or political propaganda.
2. DATA PRIVACY & PROTECTION POLICY
Etech is committed to protecting all personal and sensitive data. Employees must:
- Follow encryption and password protection practices.
- Never share client or internal data outside authorized systems.
- Report any data breaches within 24 hours.
3. SERVICE LEVEL COMMITMENT POLICY
Employees and collaborators must adhere to internal SLAs, maintaining timelines, responsiveness, and deliverable standards. Missed timelines must be reported proactively with corrective steps.
4. CONFIDENTIALITY AND NON-DISCLOSURE POLICY
All staff must sign NDAs before accessing client or internal information. Disclosure of proprietary company tools, strategies, or project details is prohibited unless authorized.
5. INTELLECTUAL PROPERTY POLICY
All intellectual work created during employment belongs to Etech unless explicitly transferred by contract. This includes code, designs, documents, systems, and content.
6. PAYMENT, WAGES & INVOICING POLICY
- Salaries for full-time staff are paid on the 5th of every month.
- Contractors/interns submit invoices by the 30th of the month for payment within 5 business days.
7. CODE OF ETHICS & PROFESSIONAL CONDUCT
Employees must act with:
- Integrity in all tasks
- Respect for clients and colleagues
- Excellence in deliverables
- Confidentiality in communication
- Accountability for decisions
8. REMOTE WORK & SECURITY POLICY
Remote team members must:
- Use company-approved VPNs
- Ensure personal devices are protected with antivirus
- Store all files in cloud systems (Google Drive, GitHub, etc.)
9. PROJECT CANCELLATION & REASSIGNMENT POLICY
If a staff or freelancer cannot complete a task, proper handover documentation must be submitted 48 hours prior to reassignment.
10. COMMUNICATION & FEEDBACK POLICY
All team members must:
- Attend weekly check-ins
- Use company communication channels (Slack, WhatsApp, Email)
- Provide feedback constructively
11. INCIDENT RESPONSE POLICY
In case of data loss, security breach, or system failure:
- Report immediately to the Tech Lead
- File an incident report within 12 hours
12. NON-COMPETE POLICY
Team members may not offer similar digital services to Etech clients outside the company for 6 months post-contract.
13. CODE & VERSION CONTROL POLICY
All code contributions must:
- Be pushed via GitHub
- Include commit messages
- Be peer-reviewed before merging
14. QUALITY ASSURANCE POLICY
All output must be tested for functionality, security, and accuracy. QA checklists are mandatory for each project phase.
15. TERMINATION OF SERVICES POLICY
Employment or freelance agreements may be terminated for:
- Ethical violations
- Non-performance
- Breach of NDA or client trust
16. CYBERSECURITY POLICY
All staff must:
- Use 2FA on all accounts
- Change passwords every 90 days
- Avoid public Wi-Fi for sensitive tasks
17. ONBOARDING & OFFBOARDING POLICY
New staff receive:
- Intro to Etech systems
- Assigned mentors
Offboarded staff must:
- Return all devices
- Revoke all credentials
18. OPEN SOURCE USAGE POLICY
Open-source tools must:
- Have MIT, Apache, or similar licenses
- Be documented and approved before use
19. SOCIAL IMPACT & VOLUNTEERING POLICY
Staff are encouraged to:
- Mentor local youth in digital literacy
- Volunteer once quarterly in tech-for-good causes
20. RELIGIOUS FREEDOM & INCLUSIVITY POLICY
Etech celebrates diversity and spiritual freedom. We:
- Allow flexible time for prayers and worship
- Encourage moral values across all faiths
- Discourage religious discrimination
